Techsystems
was accredited to the ISO/IEC 17025 by the Singapore
Accreditation Council - Singapore Laboratory Accreditation
Scheme. They are also an approved test house by
the Civil Aviation Authority of Singapore (CAAS)
in the fields of testing, calibration and measurement
technology for test and measuring equipment and
systems.
Each year,
Techsystems services about 5,000 to 6,000 instruments.
Upon completion of each job, two sets of 5-page
report are generated. One set goes together with
the equipment back to the customer, the other
set is filed and archived. When the company runs
out of storage space, these documents will be
indexed, packed and stored in the warehouse as
it is a legal requirement to store all documents
for 7 years. Thus, the storage space and its cost
is an issue for Techsystems.
Filed reports
need to be recalled whenever the equipment is
sent back by customers for servicing. The manual
retrieval of this document is slow and can take
up to 2 days for documents that are stored in
the warehouse, resulting in slow response to customers.
In addition, there is a charge for every document
retrieved from the warehouse.
To improve
the situation, Canon put in a solution that comprised
of imageWARE (iW) Document Manager and also imageRUNNER
3300i, a network multifunction device.
iW Document
Manager acts as an intelligent interface for storage
and retrieval of Techsystems' electronic
reports. With identification tag numbers assigned
to each piece of equipment and the corresponding
report, any report can be recalled simply by typing
in the tag number. Today, multiple staff can retrieve,
edit and store reports securely within the system,
thus raising their productivity. Best of all,
the reports can also be emailed to customers,
saving on paper and increasing the speed of communication.
For greater security and peace of mind, all the
reports are backed up in storage disks and stored
in a location outside the office.
